 City Print+ is looking for a Receptionist to join their growing team!

City Print + is Cape Breton’s hub for print work, promotional products, and apparel. We’re proud to be a 100% Cape Breton-owned and operated business.  Since 1973, City Print + has been a leader in the print industry in Atlantic Canada. In 2017, we expanded with the launch of our promotional products and apparel division. Now offering a huge range of printing, signage, promotional products and branded apparel, our goal is to be a one-stop shop for our customers.

As the first point of contact for customers, the Receptionist upholds the highest standards of professionalism while ensuring a welcoming and efficient front-office experience. Reporting to the Office Manager, this role is responsible for managing all front-line communications, delivering exceptional customer service, and providing comprehensive administrative support. The Receptionist coordinates day-to-day administrative and front-desk functions, including handling inquiries, maintaining organized records, and ensuring efficient communication and workflow across all departments.

As the Receptionist, your key responsibilities include:

Customer Service & Communication

  • Be the friendly first point of contact for all visitors, callers, and inquiries, providing exceptional customer service.
  • Manage all incoming communications (phone, email, voicemail) by answering, screening, and redirecting calls/messages promptly and professionally.
  • Proactively notify customers of completed orders and coordinate timely pickups or deliveries.

 Order & Financial Processing

  • Facilitate the customer order process by managing job intake (especially for blueprint/on-demand printing), generating accurate quotes using Docket Manager, creating work orders, and tracking job status.
  • Process both in-person and remote payments (including cash and terminal transactions) for orders and statements.
  • Maintain simple cash/terminal logs and coordinate with accounting for reconciliation.

 Administrative & Customer Relations

  • Maintain a tidy and stocked front office/pickup area.
  • Provide general administrative support across the company by doing general tasks like filing, keeping records organized, and supporting leadership and team members with daily operations.
  • Perform ongoing CRM data entry and quality checks.
  • Manage customer onboarding, including preparing and shipping of welcome gifts and entering/updating customer data in Mailchimp.
  • Follow up on quotes to foster strong customer relationships and repeat business.

 Team & Event Support

  • Support internal staff recognition programs (birthdays, anniversaries).
  • Assist in coordinating logistics for company events (e.g., annual Christmas party, staff luncheon)
  • Track and manage purchases for office supplies.
  • Assist with monthly financial reconciliation by managing and submitting receipts and credit card statements to the HR team. 
  • Perform additional reception and office duties as assigned, demonstrating flexibility and teamwork to support organizational goals.

 

What you need to succeed:

  • Office Administration diploma or certificate and/or equivalent commensurate experience is required.
  • A minimum of three (3) to five (5) years of previous experience in a Customer Service, Front Desk, or equivalent customer-facing role is required. 
  • Previous experience working within a print shop, sign shop, or similar production environment is considered an asset. 
  • A self-starter who takes initiative, works independently, and stays motivated to achieve goals without constant supervision.
  • A high degree of precision in completing data entry, supporting with quotes, and managing detailed documents (like blueprints and spec books).
  • Experience or familiarity with basic project management principles, including timelines, managing deliverables, and coordinating between teams, is considered an asset.
  • Exceptional attention to detail skills is required.
  • Excellent interpersonal skills with the ability to communicate professionally and effectively with customers, colleagues, and management. Proven ability to manage ongoing customer communication and relationships to always ensure professional customer service. 
  • Exceptional organizational skills with a demonstrated ability to manage multiple tasks, prioritize conflicting deadlines, and maintain productivity without sacrificing accuracy.
  • Strong problem-solving skills when resolving customer issues, escalating concerns when necessary, and ensuring all customers leave with a positive impression. 
  • Proven ability to rapidly absorb and effectively utilize new information, procedures, and technology in a fast-paced environment.
  • Ability to quickly adopt and master new software systems and tools. Experience with CRM systems or industry-specific software (Docket Manager) is a significant asset. 

 

The perks of joining our team:

  • Hourly rate of $19-21/hour (based on commensurate experience)
  • Full-time, permanent position with 30(+) hours/week
  • Hours of work: Monday to Friday, between the hours of 8:00AM – 4:00PM
  • Cost-shared comprehensive benefits plan available after three months
