Position: Full Time, Permanent (37.5 hrs – 42.5 hrs/week)
Hours of Work: Monday – Friday, 8:00AM – 4:30PM, In-person
Job Location: Neurology Division - Cape Breton Regional
Hospital, Sydney, NS
Proposed Start Date: February 2026
Compensation Package: Hourly wage between $25 - $28/hour – based on
commensurate knowledge and experience. Three (3) weeks’ paid vacation (accrued
based on time worked), paid sick time, paid holidays, and more!

Anchored Recruiting & HR Solutions is delighted to partner with Neurologist Dr. Max Fiander to find a highly organized and dedicated Medical Office Administrative Assistant to join his team.
Dr. Max Fiander is a friendly and approachable community-based neurologist with a wide scope of neurology interests, including electrodiagnostic testing (electromyography and nerve conduction studies) and injections for headaches. His practice includes Multiple Sclerosis clinic, stroke care, and seeing consults at the Cape Breton Regional Hospital.
In this role, the Medical Office Administrative Assistant will serve as the operational heart of the Neurology clinic. As the first point of contact, the Assistant will create a professional and welcoming environment while managing a wide range of clinical and administrative workflows. This role includes, but is not limited to, managing a complex clinical calendar, including the scheduling of appointments and overseeing cancellations and managing the clinic waitlist; facilitating seamless communication between patients, external specialists, and insurance providers; and ensuring patient charts and medical records are accurately stored and accessible within the MedAccess EMR system.

Core Accountabilities:
- Act as the first point of contact, providing a professional, empathetic, and welcoming environment for all patients and visiting healthcare professionals.
- Manage all incoming communications via phone and email, ensuring timely and accurate responses to patient questions.
- Distribute condition-specific educational material and treatment instructions as directed by the Neurologist to support patient care.
- Manage the complex clinic calendar, including booking appointments, overseeing cancellations, and proactively utilizing the waitlist to maximize clinic efficiency.
- Review and triage incoming referrals based on clinical urgency to ensure patients with acute neurological concerns receive timely access to care.
- Coordinate the procurement and tracking of specialized diagnostic requisitions (e.g., MRI, CT, EEG, EMG) and ensure results are uploaded to the EMR for physician review prior to appointments.
- Liaise with external specialists and primary care offices to facilitate seamless medical information transfers and outgoing referrals.
- Maintain high data integrity within the MedAccess EMR system, ensuring patient charts are organized, updated, and compliant with privacy standards.
- Proofread and distribute medical letters and consultation reports to referring physicians and relevant parties.
- Verify patient insurance coverage, handle insurance-related inquiries, and manage patient invoicing and payment processing.
- Prepare and “turn around” exam rooms between patient visits to maintain clinic flow and hygiene standards.
- Perform basic computer and EMR troubleshooting to ensure uninterrupted office operations.
- Monitor and replenish medical and office supply inventories to prevent shortages.
- Assist with other administrative duties as assigned to support the Neurologist and the overall success of the practice.
Qualifications:
- Diploma from a recognized medical office administration program or a related field, and/or similar commensurate experience is required.
- Minimum three (3) years of experience in a similar medical office setting is preferred.
- Medical terminology certification is preferred.
- Previous experience working with a Neurology practice or with patients navigating neurological conditions is considered an asset.
- Hands-on experience using electronic medical records (EMR) systems is required; specific experience with MedAccess is considered a strong asset.
- Exceptional interpersonal skills, with the empathy and patience required to communicate with patients dealing with complex or sensitive neurological matters.
- Strong working knowledge of Windows and Microsoft Office programs (Word, Excel, Outlook).
- Demonstrated ability to utilize technology to streamline workflows, improve data retrieval, and create office efficiencies.
- Ability to perform basic technical troubleshooting for office hardware and software systems.
- Exceptional punctuality and time management skills, with the ability to adapt to a fast-paced environment with changing clinical priorities.
- A proven ability to handle highly sensitive medical information with absolute confidentiality and in compliance with health privacy regulations.
- High level of accuracy in data entry, proofreading medical correspondence, and managing complex scheduling.
- Able to provide a clear criminal record check.
