$18.00 to $20.00 an Hour

Monday to Friday – 8:30 a.m. to 4:30 p.m.

Summary

The Legal & Administrative Assistant is a hybrid role combining administrative support responsibilities with legal assistant training and exposure. This position is administration-heavy, with a strong focus on office operations, coordination, and front-line support, while also providing the opportunity to develop and apply legal assistant skills under the guidance of lawyer.

The role supports the law practice through a wide variety of administrative, secretarial, receptionist, and office management duties, along with assisting in the preparation of legal documents, correspondence, and basic legal research as training and experience progress.

Job Duties – Administrative & Office Support (Primary Focus)

• Provide comprehensive administrative support to lawyer and office staff.
• Perform secretarial and receptionist duties, including answering and managing inbound telephone inquiries.
• Manage scheduling of appointments, meetings, court dates, and travel arrangements.
• Administer and manage inbound and outbound mail, courier services, packages, and correspondence.
• Maintain filing systems, records, and basic databases with a high level of accuracy.
• Assist with general office management, including coordinating janitorial, cleaning, repair, and maintenance services.
• Monitor inbound and outbound shipping and receiving.
• Reconcile bank statements and assist with basic accounting and administrative recordkeeping.
• Prepare presentations and assist with document formatting and organization.
• Present a positive and professional image of the firm to visitors, clients, agencies, and external parties.
• Support marketing, media, and public relations efforts, including social media platforms as required.

 Job Duties – Legal Assistant Support & Training (Secondary Focus)

• Prepare legal documents and correspondence based on instructions, precedents, and training provided.
• Draft correspondence for lawyer and assist with account preparation.
• Proofread and edit documentation for grammar, spelling, and content accuracy.
• Interact with clients to obtain information or instructions for lawyer.
• Conduct legal research as directed, including statutes, ordinances, court decisions, opinions, and articles.
• Assemble and prepare legal documents such as opinions, resolutions, briefs, and pleadings.
• Conduct background checks related to claims, investigations, or litigation support.
• Maintain records related to the firm’s involvement in conferences, industry events, and professional activities.

Additional duties relevant to the position will be assigned as required.

Requirements

• Legal assistant or Paralegal certification is an asset.
• Experience in an administrative assistant, office administrator, or legal support role preferred.
• Interest in developing legal assistant skills; training and mentorship will be provided.
• Strong organizational, time management, and multitasking skills.
• Excellent written and verbal communication skills.
• Strong attention to detail and accuracy.
• Ability to handle sensitive and confidential information with discretion.
• Proficiency with office productivity software; experience with Leap Legal is an asset.
• Strong customer service orientation.
• Resourceful, flexible, and able to work independently.

Working Conditions

• Ability to attend and/or assist with presentations.
• Manual dexterity required to use desktop computer and peripherals.
