Administration, Sales & Client Support Coordinator

Position Overview

Highland Landscape + Design is looking for an organized, client-focused professional to support day-to-day administration, sales coordination, and client communication.

This role is the operational backbone of the office — helping keep projects moving, clients informed, schedules organized, and the business running efficiently from first inquiry through project completion.

The ideal candidate is professional, detail-oriented, personable, and comfortable working in a fast-paced design-build environment where priorities can shift quickly during the construction season.


Core Responsibilities

Administration & Office Coordination

  • Manage incoming calls, emails, and client inquiries
  • Coordinate calendars, meetings, consultations, and site visits
  • Prepare proposals, contracts, project documentation, and client packages
  • Maintain organized digital and physical filing systems
  • Support project scheduling and internal coordination between office and field staff
  • Assist with permit applications, supplier communication, and document collection as required
  • Maintain CRM, contact lists, and project records

Sales & Client Support

  • Act as a first point of contact for prospective and existing clients
  • Assist in managing leads, inquiries, and follow-up communication
  • Coordinate consultation scheduling and client onboarding
  • Support preparation of estimates, presentations, and design packages
  • Help maintain a high level of client communication throughout project delivery
  • Assist with social media coordination, website updates, and marketing support as needed
  • Help strengthen overall client experience and brand presentation

Operational Support

  • Assist ownership and project management with day-to-day operational coordination
  • Support procurement tracking, material coordination, and supplier communication
  • Help maintain office systems, templates, and workflow consistency
  • Identify opportunities to improve organization, efficiency, and communication processes


Qualifications

  • Strong organizational and time management skills
  • Excellent written and verbal communication
  • Professional, positive, and client-focused demeanor
  • Comfortable managing multiple priorities simultaneously
  • Experience with Microsoft Office, Google Workspace, and general office software
  • Experience in landscaping, construction, design, or project coordination is considered an asset
  • Experience with CRM systems, scheduling software, or estimating platforms is an asset
  • Valid driver’s license considered an asset
