Job Overview:
The Band Office Administrative Assistant provides essential support services to various departments within the Administration Office, assisting with clerical, organizational and communication tasks. They ensure daily operations run smoothly by managing the flow of communication in a timely, professional and respectful manner. This role requires high levels of confidentiality, strong administrative skills, professionalism and the ability to multi-task effectively.
Responsibilities:
Administrative Support
Distribute incoming regular and electronic mail and other material.
Prepare correspondence, reports, and other documentation, as required.
Maintain physical and electronic filing systems to ensure accurate record
keeping
Maintain office supply inventory, complete orders, coordinate equipment
maintenance.
Support department staff in day-to-day administrative functions
Communication
Answering telephone and electronic inquiries in a timely, professional
manner
Relay telephone calls and messages to appropriate department employees
Greet visitors, ascertain nature of business and direct visitors to appropriate person
Finance Support
Process invoices,
purchase orders, and other financial documents as required
Meeting Coordination and Special Events
Maintain event space calendars and provide information to those inquiring
about booking a space
Assist in the coordination of special events, projects or conferences
Qualifications and Experience:
Knowledge, Skills and Abilities
Proficiency in Microsoft Office Suite (Word,
Excel, PowerPoint, Outlook)
Excellent verbal and written communication
skills
Strong organizational and time management
skills
Strong attention to detail and problem-solving
abilities
Ability to exercise discretion, tact and
professionalism in handling sensitive and confidential information
Ability to work respectfully with employees,
leadership and community members
Ability to work independently, following
established directions and procedures
Ability to speak Mi’kmaq considered an asset
Knowledge of First Nation Governance and
community operations is considered an asset
Education and Experience
A post-secondary diploma or certificate in
Office Administration or a related field is preferred
Minimum of 2 years’ experience in an
administrative role, preferred
A high school diploma with additional
education, training or work experience in administration will be considered
Other Requirements
Must have reliable transportation and be
willing to travel as required.
Satisfactory Criminal Record Check.
Ability to work flexible working hours,
evenings or weekends for community events or meetings.
Effort and Working Conditions
In-person, on-site.
Indoors, environmentally controlled
Prolonged periods of sitting, computer use, and
repetitive tasks
Occasional lifting of files or office materials
(up to 50 lbs.)
Work outside regular business hours may be required
