Title: Office Manager

Position: Full-Time Permanent (40hrs/week)

Hours of Work: Monday – Friday, 8:00AM – 5:00PM, in-person

Job Location: Sydney, NS

Proposed Start Date: As soon as possible

Compensation Package: Annual salary range starting at $55,000 - $60,000, negotiable based on commensurate experience. Comprehensive cost shared benefits package, RRSP match contribution after one (1) year of service, two (2) weeks paid vacation (accrued based on time worked), paid sick time, paid holidays, and more!

Locally owned and operated, Island Well Drillers has been delivering reliable water solutions to Cape Breton Island for 50+ years. They specialize in drilling, pump installation, water treatment, and well maintenance, utilizing cutting-edge products and equipment.

Reporting to the business owners, the Office Manager is responsible for, but not limited to, overseeing office operations and procedures, providing oversight and support to the Office Administrators, and implementing and managing process improvement techniques to improve operational efficiencies and effectiveness.

Core Accountabilities:

  • Manage office operations and procedures to ensure organizational effectiveness.
  • Responsible for oversight of and support to the Office Administrators. 
  • Assist in the integration of a new payroll software from QuickBooks, collaborating with IT support to ensure a seamless migration.
  • Assist in the integration of a new inventory software solution.
  • Enhance inventory control by implementing a barcode system and related procedures.
  • Manage all government remittance processes, ensuring compliance with regulatory requirements.
  • Supervise administrative staff responsible for payables and receivables, ensuring accuracy and efficiency.
  • Assist with the collection of receivables, collaborating with administrative staff to minimize outstanding balances when required.  
  • Oversee the business schedule appointment system.
  • Conduct regular bank reconciliations to maintain accurate financial records.
  • Provide scheduling support when required, ensuring efficient resource allocation.
  • Collaborate with safety personnel to organize and track employee safety training.
  • Oversee some human resource functions of the job which include, but are not limited to, the development and implementation of company policies and procedures, creation of job descriptions, benefit enrollment, payroll, and other supports as needed.
  • Organize and maintain various filing systems to track and store data and documentation and allow for easy retrieval of information
  • Other duties as assigned.

Qualifications:

  • A Business or Office Administration degree/diploma or commensurate experience is required.
  • Minimum of three (3) – five (5) years of leadership experience working in a similar office setting is required.
  • Strong working knowledge of QuickBooks Accounting Software is preferred.
  • Strong working knowledge of office management and accounting procedures.
  • A strong aptitude with MS Office products, i.e., Word, Outlook, and Excel.
  • Excellent customer service and conflict resolution skills (high degree of diplomacy, tact, discretion, and good judgment).
  • Excellent interpersonal skills and communication skills, both written and verbal.
  • Ability to work independently and within a team environment.
  • Excellent project management skills, with the ability to evaluate, implement, and manage process improvements for operational efficiency and effectiveness.
  • Exceptional organizational skills and the ability to multi-task competing priorities.
  • Excellent time management skills, with the ability to work efficiently under pressure to meet deadlines.
  • High degree of accountability, attention to detail, integrity, consistency, and follow-through.
  • Willingness to learn and adapt quickly and efficiently.
  • Knowledge of HR functions and resources.
  • Clear criminal record check, valid driver’s license, clear driver’s abstract with reliable transportation are required.
