Cheticamp Area Residential and Educational Society (C.A.R.E.S.)

Cheticamp Area Residential and Educational Society (C.A.R.E.S.) is a non-for-profit organization that provides support to individuals living with intellectual, physical and mental health disabilities. The organization oversees the operations of four divisions in its portfolio which has an adult day program and three community homes.

C.A.R.E.S. is looking to hire for the position of ‘Administrative Assistant’ which is a key role within our management team. The Administrative Assistant is under the direction and guidance of the Executive Director and is responsible for efficient operations in accordance with the philosophies, policies and procedures of the organization.

Key Job Duties:

  • Prepare work schedules for employees.
  • Coordinate and manage all time off request.
  • Assistance with payroll including timesheet verification and preparing pay stubs. This includes managing vacation time, sick leave, overtime, bereavement leave, etc.
  • Maintain the personnel files for all staff.
  • Assist in the administration of employee benefits.
  • Schedule and maintain updated training courses for all staff, as per our licensing requirements.
  • Order office supplies for all operations of CARES.
  • Assist with recruiting, interviewing and onboarding new staff.
  • Prepare agendas, internal memos, take meeting minutes, and other secretarial responsibilities as assigned by the Executive Director (i.e. policies).
  • Sit on various internal committees (i.e. Joint Occupational Health and Safety, Labour Management, etc.)
  • Attend meetings as necessary (i.e. staff meetings, management meetings)
  • Engage with our residents and participants of C.A.R.E.S. at various outings, fundraising events, etc.
  • Answer and direct incoming calls; deal with the public as necessary
  • Complete errands for the organization such as going to get the mail, dropping off bank deposits, and other errands as requested.
  • Assist in the planning of all CARES fundraisers or team events; attend when necessary.
  • To abide by the guidelines outlined within the Collective Agreement for CUPE LOCAL 4896. Please note, only front-line staff are unionized.
  • Other tasks/projects as assigned by the Executive Director (i.e. policy work).

Desired Qualifications:

  • 1-2 years of post-secondary education in a relevant field and/or 1-2 years experience in an office setting.
  • Knowledge and application of Microsoft platforms including Excel, Word, and Teams.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and organizational skills.
  • Ability to multitask and manage time effectively.
  • Professional demeanor and strong interpersonal skills

Please Note:

This position works 80 hours bi-weekly, Monday through Friday, with typical working hours (i.e. 7-3 or 8-4). Flexibility may be granted upon certain circumstances of the successful applicant.
